AI For Project Managers- Let your Documents and Contracts speak to you

As a Project Manager, we read thousands of documents per year, searching for specific information. Even with the use of the famous Control + F, it is still sometimes difficult to find exactly what we are looking for. Wouldn't it be easier if we could simply talk to the document as if it were a person?

Good news is that now it is possible to chat with your document as if it were a person,

I will explore some use cases to give you some ideas on how to utilize the power of these tools to make life easier.

I will be utilizing a free tool called "ChatPDF" .

ChatPDF allows you to upload a PDF or provide a URL.

Use Case 1 :Talking to Equipment Manuals

You have a pump manual and want to quickly learn specific information without having to search through the entire document, there are some strategies you can use to efficiently locate the information you need. Once you provide a link to the pdf. ChatPDF shows you some sample questions you can ask.

Question 1 : What are the preventative Maintenance that need to be performed?

Question 2 / 3 : What Type of oil do I need to use? tell me about potential failure modes

Use Case 2 :Talking to Contracts

I will utilize a similar tool called "Ask Your PDF" to ask questions about a purchase order contract terms and conditions.

Question : What happens if there is a delay in delivery of the goods and services?

Conclusion

Being able to ask the PDF direct questions instead of trying to find the right words to search for makes work more efficient and less frustrating. Although these tools should not be used for sensitive or personal data due to privacy concerns, there are still many use cases for searching documents in the public domain. Eventually these tools will implement privacy features and will likely also be rolled directly into Adobe, Microsoft Word, or Google Docs. So Stay Tuned!
